What to Have Open for the Check In or Tech Check
Check the “Run of Show” document, under “Run of Show” tab. Complete the t-1 hour checklist before the experience starts. As well, here is a document on how to incorporate Eventbrite into your check-in.
How To Complete a Tech Check
Follow these steps:
Step 1) Let one learner in from the waiting room
Step 2) Ensure their microphone is turned on. Wait until you see “Audio connected” over their zoom profile before speaking to the learner. Engage in conversation!
Step 3) Ask them to turn their camera on, to confirm they are the registered participant
Step 4) Make sure they have all the tools open to participate in the workshop. This will be different based on which workshops you are running. Example, make sure they have Glitch or Scratch open.
Step 5) Once these items are confirmed, send the learner to the “Party Room” with the Instructor and Mentors
Other things to keep in mind…
If a learner is not showing up on the registration list, they will show up on the downloadable attendee list. It is a good resource to have open or to reference during check-in just in case.
Optional: Ask for pronouns in the check-in process. Generally when asking for pronouns, You can use this prompt: “If you would like your pronouns (ie. she/her, he/him, they/them, or other) included in your screen name, put them in the chat here”. As the Producer, you can then change individual participant names in Zoom by clicking 3 dots beside their name and typing in the pronoun or name. Depending on the amount of learners, this might take a lot of time. Be mindful of having learners vocalize their pronouns instead of assuming them.
